Guide

Template for designing custom promotional signs

A sign design template, also called a signage layout or custom sign brief, keeps every sign consistent and saves time with designers and printers. Fill in the brief, choose a layout pattern and follow the production notes.

Production notes

Design in Adobe Illustrator or Canva on the printer's template, include bleed, proof at full size and check QR codes on several phones. Printers such as Vistaprint publish file specifications.

How do you keep a set of signs consistent?

Use the same fonts, colours, logo position and image style on every sign, and keep a master file for each layout pattern.

How do you use the brief with a designer or printer?

Fill in the brief before contacting anyone. Share it with your designer along with your brand guidelines and the printer's template, and ask the printer for their specifications (size, bleed, colour space, file format) before artwork starts. This avoids the most common problem: artwork that doesn't fit the frame or print area.

How do the three layout patterns work?

Header pattern. Logo on the left, message on the right, nothing else. Use for headers and overhead signs read from a distance.

Promotion pattern. Headline at the top, image in the middle, offer and call to action at eye level. Use for banner stands and backdrops.

Wayfinding pattern. Arrow, destination and icon. Use in showrooms and at larger stands to guide visitors.

Which materials suit each sign type?

Sign type Indoor material Outdoor material
Header Fabric or rigid panel Aluminium or vinyl
Banner stand Fabric or film Mesh or vinyl
Counter sign Acrylic or rigid PVC Not usually outdoor
Wayfinding Rigid PVC or acrylic Aluminium

How do you keep a family of signs consistent?

Create a master file for each pattern with fixed positions for the logo, headline and call to action. Use the same fonts, colour codes and image style across every sign, and keep a library of approved images.

What should you check before approving a sign?

Spelling, phone numbers, URLs, QR codes (scan them), colours, bleed, resolution and whether the message can be read in three seconds at the intended distance.

How do you plan a full set of signs for a stand?

List every sign the stand needs, assign each a layout pattern and fill in a brief for each. A typical 10 × 20 ft stand might need one header (header pattern), one backdrop message (promotion pattern), two banner stands (promotion pattern), three or four product or room-set signs and a QR sign at the counter. Planning the set together keeps messages from repeating or contradicting each other.

How do you hand over files to the printer?

Send print-ready PDFs built on the printer's templates, with a list of items, sizes, materials, quantities and finishing. Request proofs for approval and confirm delivery dates and addresses.

How do you adapt the template for showrooms?

For showrooms, add a "lifespan" field, choose durable materials and a calmer layout, and include product details such as materials and dimensions on room-set cards.
