Promotional signage solutions for trade show marketing

Promotional signage, also called advertising signs, marketing signage or promotional displays, is the printed and digital signage that identifies a business and draws people in at trade shows, in showrooms and outside premises. On a stand, signage has three jobs: tell visitors who you are, tell them why to stop and tell them what to do next.

This guide covers types, materials, sizing and placement. It's part of the trade show displays series.

What types of promotional signage are there?

Signage Where it goes Job
Header or hanging sign Above the stand Be found from across the hall
Backdrop Back wall Brand and main message
Banner stand Entrance or sides Offers, wayfinding
Illuminated lightbox Back wall or tower Stand out in bright halls
Digital screen Inside the stand Catalogue, video, rotating offers
Product signs Beside products Names and key details
Floor graphics Leading into the stand Draw visitors in
Table cover Front table Brand at eye level

How should signage messages be written?

One message per sign, readable in three seconds. For a header, that's your name and what you do; for a backdrop, one benefit; for product signs, the name and two or three facts. A trade furniture supplier might use "Handcrafted furniture for trade" on the header and "25% off MSRP · No minimum order" on the backdrop. See the signage design checklist and templates for custom signs.

How big should signs be?

Size letters to the viewing distance: as a rule of thumb, about 2.5 cm of letter height for every 3 m of distance for basic readability, more for impact. See selecting the right size for promotional signs.

Which materials suit which signs?

Fabric for backdrops and banners, rigid board or acrylic for counter and product signs, aluminium or vinyl for outdoor use and LED lightboxes for illuminated walls. See best materials for trade show banners, outdoor signage materials and digital vs print signage.

Where should signs be placed?

High for identification, at the aisle edge for attraction and at eye level for detail. Never let furniture, products or staff block a sign. See tips for signage placement.

How does signage work with furniture and products?

On a furniture stand, the product is the strongest sign. Keep signage minimal around room sets so they still look like rooms, light products separately from illuminated signs, and keep headers above the tallest furniture. One small sign per room set is usually enough.

What affects signage cost and lifespan?

Size, material, print method, finishing, illumination and installation drive cost; material, handling and storage drive lifespan. See pricing by signage type, outdoor sign durability and illuminated signage.

How do QR codes fit in?

A QR code on a sign links visitors straight to a catalogue, spec sheets or a sign-up form. Size it for scanning distance and say what visitors will get. See integrating QR codes into signage.

What goes wrong with installation?

Crooked or sagging signs, wrong sizes and weak fixings are the usual problems. See troubleshooting signage installation.

Which organizations set signage standards?

The International Sign Association (ISA) represents the sign industry and publishes legibility research; the American Marketing Association publishes broader marketing guidance.

How should signage change for showrooms rather than shows?

Showroom signage lasts months, not days, so it needs durable materials, calmer designs and messages that don't date. Use room-set signs with a short description and key details, a single wayfinding system and, if needed, a screen for pieces not on the floor. In a furniture showroom, small, well-placed signs let the furniture lead.

Permanent storefront signage instead?

Storefront and showroom signs face weather and need long-term materials and permits. Start with best materials for outdoor signage.
