Guide to selecting the right size for promotional signs
Choosing the right sign size, also called sign dimension planning, starts with one question: how far away will people be when they read it? Size and placement are decided together.
This guide is part of the promotional signage solutions series.
How does viewing distance set letter height?
A common rule of thumb is about 2.5 cm of letter height for every 3 m of viewing distance for basic readability, and larger for impact.
| Viewing distance | Minimum letter height | Typical sign |
|---|---|---|
| 1 m | About 1 cm | Product sign |
| 3 m | About 2.5 cm | Counter or banner detail |
| 6 m | About 5 cm | Banner headline |
| 15 m | About 12.5 cm | Header across a hall |
How should signs be tiered on a stand?
Plan three tiers: a header readable from across the hall, mid-level signs readable from the stand entrance and detail signs readable at arm's length. Each tier has a different size and job.
How do placement and size interact?
Signs hung high are read from further away, so need larger lettering; counter signs are read up close and can be smaller. People and furniture block anything below shoulder height, so keep important messages high.
Which other factors matter?
Booth size and height limits, the display system's fixed sizes, the length of the message and the material. A short message can use much larger letters on the same sign.
Common sizing mistakes
Signs that look large on screen but small in a hall, too much text crammed into a small sign, ignoring height limits and placing signs where furniture hides them.
How do you test size before printing?
Print a section at full size, tape it up and view it from the intended distance, or mock it up on a photo of the space.
How do you size signs for different locations?
| Location | Typical viewing distance | Sizing approach |
|---|---|---|
| Header or hanging sign | 10–30 m | Large letters, minimal text |
| Back wall | 3–10 m | Headline plus one supporting line |
| Banner stand | 2–6 m | Headline, image, short call to action |
| Counter sign | 1–2 m | Smaller text, short details |
| Product sign | Under 1 m | Name and a few facts |
How does message length affect size?
Short messages can use much larger letters on the same sign. If a sign must hold more text, increase its size or move the extra text to a closer sign or screen.
How do booth rules limit size?
Exhibitor manuals set height limits, especially on in-line booths, and may restrict hanging signs. Check before designing, and use the maximum allowed height for the main message.
How should signs scale for larger booths?
Larger booths are seen from further away, so headers need larger letters and simpler messages. Island booths need signs readable from all sides, often on towers or hanging structures.
How do you size signs for showrooms?
Showroom signs are read closer and for longer than trade show signs. Room-set cards can use smaller text (readable at 1–2 m), while wayfinding and exterior signs need larger letters. Keep sizes consistent across the showroom so signage looks deliberate.
How do you size QR codes and small print?
QR codes should be at least about 2.5 cm wide for close scanning and larger for distance; a rough guide is about one-tenth of the scanning distance. Small print such as terms or URLs should be at least large enough to read at arm's length, and anything important should never be in small print.
How do you keep sizes consistent across a set of signs?
Decide a type scale (for example headline, subheading and body sizes for each viewing distance) and use it across every sign, so signs look like a family and visitors learn where to look.

Frequently asked questions
How do you choose the right sign size?+
Start from the viewing distance, size the letters to be readable at that distance, then size the sign around the message and the space available.
What factors affect sign size selection?+
Viewing distance, placement height, booth or wall size, venue limits, message length and the display system it fits.
Why is sign size important for events?+
Visitors decide in seconds whether to stop; a sign that can't be read from the aisle loses them.
How big should a trade show header sign be?+
As large as the booth's height and width rules allow, with letters sized to be read from across the hall.
