Troubleshooting common issues with booth accessories

Booth accessory issues, also called booth equipment problems, are the small failures that make a stand look unprepared: a dead light, a wobbly stool, a scuffed counter. Most are fixed in minutes with the right spares.

This guide is part of the trade show booth accessories series.

Common issues and fixes

Issue Fix
Lights out Check power, reseat connection, swap lamp
Wobbly display stand Level, tighten, add base weight
Scuffed furniture Touch-up marker or wax stick
Wobbly chair or stool Felt pads, tighten fixings
Sign won't hang Correct hardware; venue rigging
Charger not working Check outlet and cable
Missing item Packing list, spares box

How does furniture hold up at shows?

Solid wood handles repeated shows well and can be touched up on site; flat-pack and laminate are harder to repair once chipped. Pack furniture in blankets with corner protectors and add felt pads to legs.

How do you prevent problems?

Inspect after each show, repair before storing, restock spares and pack with protection.

Accessory checklist

  • Power on and lights working
  • Stands level and locked
  • Furniture stable, clean and undamaged
  • Signage secure and readable
  • Chargers and screens working
  • Spares box restocked

How do you diagnose lighting faults quickly?

Work from the power source outwards. Check the venue outlet, then the power strip, then the transformer or driver, then the cable, then the fixture. If several lights fail at once, the problem is upstream (outlet, strip or circuit); if one fails, it's usually the lamp, driver or connection. Carry a spare driver and lamp for each fixture type, and label which fixture runs on which circuit.

How do you fix wobbly display stands and shelving?

Start with the floor: hall floors are often uneven, so shim feet or use adjustable feet. Then tighten connectors and fixings, check that shelves are seated correctly and add weight to bases. If a stand still wobbles, reduce the load on it or move heavy items lower.

How do you care for furniture during the show?

Problem Quick fix Prevention
Scuff on wood Touch-up marker or wax stick Felt pads, blankets in transit
Ring mark from a drink Wipe immediately; use coasters Coasters on every table
Loose chair joint Tighten fixings Check before each show
Wobbly stool Felt pads; check floor Level floor, adjustable glides
Dust and fingerprints Soft dry cloth Morning wipe-down

Solid-wood furniture handles these issues well because most marks can be touched up and the finish refreshed between seasons.

How do you fix signage that won't stay up?

Use the right hardware for the surface (hooks for fabric walls, hook-and-loop for panels, rated hardware for anything overhead) and keep spares. Overhead signs should be rigged by the venue.

What should happen after the show?

Inspect every accessory as you pack, set aside anything damaged for repair, restock the spares box, record what failed and why, and update the packing list. Fixing problems between shows is far cheaper than fixing them on build-up day.

Which accessories fail most often?

Lighting (lamps, drivers, connections), cheap banner stands (bases and cassettes), rental furniture (loose joints, wobbly legs) and charging stations (cables). Investing in better versions of these items, and carrying spares, prevents most show-day problems.

How do you build a spares box for accessories?

Include spare lamps and drivers for each light type, felt pads, touch-up markers in each wood tone, spare banner stand poles and feet, hook-and-loop strips, cable ties, gaffer tape, a power strip where permitted, spare chargers and a small toolkit. Keep it with the display kit and restock after every show.

How do you decide whether to repair or replace?

Repair items that are structurally sound with cosmetic damage, such as scuffed wood that can be touched up. Replace items that affect safety or stability, such as cracked bases, failing drivers or wobbly furniture that can't be tightened.
