Guide
Best practices for modular display setup
Modular display setup, also called modular exhibit assembly or display configuration, goes fastest and smoothest when you build the same way every time. These best practices cut build-up time, reduce mistakes and leave the stand looking finished.
This guide is part of the modular display designs series.
What should happen before the show?
- Choose the configuration for this booth size and open sides.
- Print the configuration drawing and packing list.
- Label every component and pack cases in assembly order.
- Test-build any new configuration at the office.
- Assign team roles.
What is the best assembly order?
- Base and flooring
- Frames and connectors
- Panels and graphics
- Shelves, counters and screen mounts
- Lighting and power
- Furniture and products
- Final clean
How should a team divide the work?
With two people, one builds frames and graphics while the other unpacks lighting, furniture and products. With three, add one person for power, screens and the final clean. Clear roles stop people waiting on each other.
How should furniture be placed?
Place furniture last, once the structure and lighting are in. Keep the front open, put seating where staff can see the aisle and set display pieces where spotlights fall. Warm solid-wood pieces soften an aluminium-and-fabric system.
How do you speed up setup at every show?
Standardize: the same drawing format, packing order and labelled cases every time, plus a photo of the finished stand for reference. Keep a spares box with connectors, fixings, lamps and touch-up supplies. After each show, note what slowed you down and fix it.
What final checks matter?
- Frames level and locked
- Fabric tensioned and smooth
- Lighting aimed at products
- Power and screens tested
- Furniture clean and stable
- Header readable from the aisle in three seconds
Which mistakes slow setup?
Missing parts, wrong configuration drawings, graphics packed in the wrong order and no one responsible for power. All are prevented by labelling and a checklist.
How do you plan lighting and power for modular builds?
Decide fixture positions in the configuration drawing, total the wattage, order power with the drop where you need it and route cables through the frame or along the floor under carpet. Test all lighting before graphics are fully fitted, so you can reach connections easily.
How do you place graphics without damage?
Wash hands or wear gloves, keep graphics rolled until needed, install from the top down and corners first, and avoid dragging fabric across the floor. Steam creases after installation.
How do you work safely during setup?
Use a stable step stool, lift heavy panels with two people, keep walkways clear of tools and cases, tape cables down and follow venue rules on power tools.
How do you dismantle efficiently?
Reverse the build order: products, furniture, lighting, accessories, graphics, frames, base. Count parts back into cases, roll graphics, wrap furniture in blankets and note any damage for repair.
How do you train a new team member?
Give them the configuration drawing, the packing list and photos of the finished stand, and have them build alongside an experienced person once. A short written guide in the case lid helps at every show.
How do you finish the stand before doors open?
Hide cases and bags, steam fabric, dust furniture, check that lights are aimed at products, test screens and lead capture, and walk the aisle from both directions. A finished stand looks deliberate; an unfinished one looks rushed.

Portable setup instead?
Portable systems need less planning but follow the same principles; see the portable display setup checklist.
Frequently asked questions
What are the key elements of a modular display setup?+
A configuration drawing, labelled components, the right tools, a fixed assembly order, a lighting and power plan, furniture placement and a spares kit.
How can you optimize a modular trade show display?+
Choose the configuration that suits the booth's open sides, keep the front open, light products and furnish for conversation.
What materials are best for modular displays?+
Aluminium frames, fabric graphics and a few solid elements such as wood counters.
How long does a modular display take to set up?+
Typically a few hours for a practised team on a standard booth, depending on size, accessories and lighting.
