How to set up a portable display system: checklist for trade shows

This portable display setup checklist, also called a portable exhibit checklist, takes you from unpacked cases to a show-ready stand. Print it and keep a copy in the case.

This guide is part of the portable display systems series.

Before you leave

  • Frame, connectors and graphics counted
  • Lighting and spare lamps
  • Tools: Allen keys, gaffer tape, cable ties, scissors
  • Table cover and literature
  • Furniture packed and protected, or rental confirmed
  • Cleaning cloths and a small steamer for fabric

Step-by-step setup

  1. Mark the booth footprint and check the floor
  2. Open and lock the frame
  3. Attach graphics, smoothing from the centre out
  4. Fit and test lighting
  5. Place furniture, keeping the front open
  6. Arrange products and literature
  7. Hide cases and clutter

Furniture placement

  • High table and bar stools to one side, not across the front
  • Display pieces at eye level
  • Clear walkway into the stand
  • Felt pads on furniture legs

Final checks

  • Walk the aisle: can you read the header in three seconds?
  • Lights on products, not walls
  • Power and screens working
  • Stand clean and tidy

Common mistakes

Missing connectors, creased graphics, dark stands and tables across the entrance. If something goes wrong, see troubleshooting trade display setups and troubleshooting portable displays.

Dismantling checklist

  • Graphics rolled, not folded
  • Frame parts counted back into cases
  • Furniture wrapped in blankets
  • Damaged parts noted for replacement

How do you plan the day before?

The day before, confirm build-up times, collect badges and parking details, check the weather and loading dock arrangements, charge every device, print the configuration drawing and packing list, and confirm who on the team brings which cases. Pack a small bag with water, snacks and a phone charger for build-up day.

How should a team divide setup tasks?

With two people: one builds the frame and graphics while the other unpacks lighting, furniture and products. With three: add one person to handle power, screens and the final clean. Assign roles in advance so nobody waits.

Which checks matter before doors open each day?

  • Lights and screens on
  • Graphics smooth and clean
  • Furniture straight and dusted
  • Literature and tablets ready
  • Lead capture app working
  • Clutter hidden

Furniture care during the show

Wipe surfaces each morning, keep drinks off wood without coasters, check felt pads and touch up any scuffs before opening.

How do you check the stand is ready to open?

Check Pass
Header readable from both aisle directions ☐
Front metre clear ☐
Lights on products ☐
Screens and tablets working ☐
Lead capture app tested ☐
Furniture clean and straight ☐
Cases and bags hidden ☐
Staff briefed ☐

How do you set up furniture on a portable stand?

Place furniture after graphics and lighting. Keep the high table and stools to one side, display pieces where spotlights fall and storage at the back. Put felt pads on legs to protect hall floors and keep pieces steady.

How do you handle a damaged graphic?

Steam out creases, use double-sided tape on small tears behind the graphic and, if damage is visible, turn the stand so the damage faces away from the main aisle. Order a replacement for the next show.

How do you speed up the next setup?

After dismantling, note what took longest and why, update the packing list and photograph the finished stand for reference. Small improvements each show make setup faster over a season.

How do you set up when you're short of time?

Prioritize in this order: the back wall and header, lighting on products, the hero product, a place to talk, then everything else. A stand with a clear message, good light and one strong product is ready to receive visitors.
