Troubleshooting common issues with trade display setups
Trade display setup issues, also called display setup problems or setup challenges, are what goes wrong between unpacking and opening: hardware that won't fit, graphics that sag, lights that fail and, once the show opens, a stand that doesn't draw visitors. Most can be prevented with preparation and fixed quickly with the right kit.
This guide is part of the trade show displays series.
Which setup problems happen most?
| Problem | Likely cause | Fix |
|---|---|---|
| Frame won't align | Uneven floor, wrong order | Level the floor, follow labels |
| Graphics don't fit or sag | Wrong version, poor tension | Check sizes before printing; re-tension |
| Lights fail | Overloaded circuit, loose cable | Check wattage, reseat, spread load |
| Furniture damaged | Poor packing | Blankets, corner guards, touch-up kit |
| Missing parts | No packing list | Pack to a numbered list; carry spares |
| Screens show no signal | Cable or input | Swap cable, check source |
How do you prevent setup problems?
Test-assemble the full stand before the show, photograph it, label every part and pack in assembly order. Bring spares for anything small and breakable: connectors, fixings, lamps and cables.
How do you fix lighting and power issues?
Check total wattage against what you ordered, spread the load across circuits, reseat connections and swap lamps. Report failures to the venue service desk early on build-up day, when electricians are on site.
How do you deal with furniture problems on site?
Protect furniture in transit with blankets and corner guards, carry touch-up markers, wax sticks and felt pads, and bring a spare chair or stool. Solid-wood furniture handles repeated shows well and scuffs can be touched up; laminate chips are harder to hide.
Why isn't the stand attracting visitors?
Check the message, the front and the light. If visitors can't tell what you do in three seconds, or the entrance is blocked by a table, they walk on. Move tables to the side, simplify the header and add spotlights. See best practices for booth design.
How do you troubleshoot screens and interactive displays?
Swap cables, check the input source, restart the device and switch to offline content if Wi-Fi fails. See troubleshooting interactive displays and portable displays and screens.
What kit should every exhibitor carry?
See essential tools for setting up a trade booth and tools for assembling trade show displays.
How do you stop the same problems recurring?
Debrief after each show. Record every problem, its cause and the fix, then update the packing list and drawings.
What should a spares kit contain?
A good spares kit prevents most build-up delays: spare connectors and fixings for your system, a spare lamp for each fixture type, HDMI and USB-C cables and video adapters, cable ties, gaffer tape, double-sided tape, a small first-aid kit, felt pads, touch-up markers and wax sticks for furniture, and a printed copy of the configuration drawing and packing list.
Who can help on site?
The venue service desk handles power, rigging, cleaning and labour; the show organizer handles rule questions; your builder or supplier handles system faults. Keep their contact numbers on the packing list.
How do you handle problems during show hours?
Fix quietly and quickly, ideally before doors open each morning. If a fix will take time, tidy the area, move the affected item out of sight and keep talking to visitors; a calm stand with one missing element looks better than a stand under repair.
Problems in a showroom instead?
Permanent displays have different issues, such as stale layouts and dead zones. See troubleshooting stock display designs.
Frequently asked questions
What are common issues with trade displays?+
Missing parts, frames that won't align, graphics that don't fit or sag, power and lighting failures, damaged furniture and stands that attract few visitors.
How do you fix display setup problems?+
Work from the configuration drawing, check parts against the packing list, level the floor, re-tension graphics, spread electrical load and use spares from a prepared kit.
What tools help troubleshoot displays?+
Allen keys, a cordless driver, a level, gaffer tape, cable ties, spare lamps and connectors, touch-up markers and felt pads for furniture.
Why is my trade display ineffective?+
Usually an unclear message, a closed front, poor lighting or staff who don't engage. Fix those before spending more on graphics or technology.
