Guide

Essential tools for setting up a trade booth

Booth setup tools, also called trade display essentials or exhibition equipment, are the equipment, furniture and supplies you need to build a stand quickly and run it smoothly for the whole show. Forgetting one small item, like cable ties, can cost an hour on build-up day.

This guide is part of the trade show displays series.

Which tools should you pack?

Tool Use
Cordless drill/driver and bits Shelves, counters, furniture fixings
Allen keys and screwdrivers Frames and connectors
Tape measure and level Positioning and levelling
Utility knife and scissors Packaging, trimming
Gaffer tape, double-sided tape, cable ties Cables and signage
Step stool Reaching graphics and lights
Cleaning kit Final clean before opening

Which display items are essential?

Display stands or shelving, back wall graphics, header signage, lighting and literature holders. See portable display systems and promotional signage solutions.

What booth furniture do you need?

Item Purpose
Bar stools and a high table Quick, standing-height conversations
Chairs and a low table Longer meetings
Cabinet or counter Lockable storage, check-in
Display pieces Products at the right height

Furniture brands and retailers can furnish the stand from their own trade range and reuse pieces later. Artisan's trade accounts have no minimum order, so you can buy exactly what the stand needs.

Which small extras save the day?

Table covers, a power strip where permitted, phone chargers, a tablet for lead capture, water, business cards, a first-aid kit, felt pads and touch-up markers for furniture.

What order should setup follow?

Flooring, frames, graphics, lighting, furniture, products, literature, then a final clean and a walk down the aisle to check the view. See the portable display setup checklist.

Should you hire or buy?

Exhibitors at one show a year often rent furniture and equipment from the show's official contractor; regular exhibitors usually save by owning. See trade show booth accessories.

What if something goes wrong?

See troubleshooting trade display setups.

Toolkit checklist by category

How should the toolkit be organized?

Keep a dedicated, labelled case that stays with the display kit, organized by task, with a printed checklist inside the lid. Restock after every show.

What safety precautions matter during setup?

Use a step stool rather than chairs or tables, lift heavy furniture with two people, tape cables down, wear gloves when handling frames and follow venue rules on power tools and working at height.

How long does setup take?

A portable 10 × 10 ft booth with furniture and products usually takes a couple of hours for a practised team; modular and custom stands take longer. Book enough build-up time and arrive early.

How do you pack the toolkit and kit for travel?

Pack the toolkit in a hard case, frames and graphics in their own cases, furniture wrapped in blankets with corner protectors, and a separate box for products and literature. Label every case with its contents and the order it should be unpacked.

How do you prepare products and literature?

Pack products in padded boxes in the order they'll be displayed, bring literature in small quantities with a QR alternative, and prepare tablets with spec sheets and a sign-up form before you leave.

Packing for the return trip

Bring protective blankets and labelled cases for dismantling, so furniture and graphics come home undamaged and ready for the next show.
